Studio Ops guide

How to package and deliver final portrait files.

Build the package from the approved final set, generate only the versions the client needs, verify the archive, and explain the handoff in plain language.

Start from the approved final set.

The delivery folder should be built from the exact images the client submitted and the studio finished. Do not copy from a working export folder where proofs, alternates, and retouched masters can be mixed.

  • Submitted selection matches the production brief
  • Every final passed the studio's visual review
  • Working files and rejected alternates are excluded
  • Color space and format match the intended use

Generate only the useful variants.

Full-resolution JPEGs may be enough for many portrait clients. Corporate and personal-branding jobs may also require profile, web, directory, print, or transparent-background versions. Follow the agreement rather than filling the archive with speculative sizes.

Use folders or filenames that make the distinction obvious without requiring specialist knowledge.

Inspect the archive outside the production environment.

Download or open the exact package the client will receive. Count the files, open a sample from every variant, confirm the naming pattern, and review any manifest or usage note.

Explain the package and preserve the receipt.

The delivery email should identify what is included, which versions serve which uses, how to download the archive, how long access remains available, and how to report a missing item.

Record the sent delivery and successful download with the gallery so later support or review follow-up starts from evidence.
